Position Description:

Come work with us under the iconic dome!  We are seeking a Foundations & Grants Officer to cover an 11-month parental leave set to begin in April 2019.  Our aim is to ensure the successful candidate has an opportunity for training and handover with the person currently in this role; submit your application today.

The Foundation & Grants Officer is a member of the Development Team and is primarily responsible for fundraising activities related to corporate & private foundations and government grants. Reporting to the Director of Development, the Officer will write and submit compelling grant requests and reports, establish and maintain personal contact with foundation and government contacts, conduct prospect research and maintain a calendar of submissions and other deadlines for all grants.  In a team-based, dynamic environment, this role will also provide occasional support of events and special projects as requested.

The ideal candidate will have excellent writing skills, experience in grant research and preparation of charitable applications and a solid understanding of donor stewardship best practices. A commitment to teamwork and strong interpersonal skills are a must, as the Officer will work closely with colleagues in Development and across the organization to meet the fundraising and mission goals of Science World.   

Key Accountabilities:

  • Retain and grow a portfolio of strategic foundation partnerships including prospect identification, qualification, cultivation, solicitation and stewardship in support of Science World’s mission
  • Responsible for conducting the full range of activities required to research, prepare, write, submit, and manage grant proposals to potential funding sources including municipal, provincial, federal, corporate, and private/family foundations
  • Distribute impact communication to donors and submit required reports for existing grants
  • Assemble and submit grant requests, including letters of inquiry, proposals, budgets, reports and presentations
  • Establish and maintain personal contact and relationships with funders
  • Maintain a current calendar and records in Raiser’s Edge to track activities, manage pipeline, and report on status
  • Prioritize projects to keep multiple projects moving in a timely manner, meet numerous deadlines and manage supplemental material required for proposals
  • Gather and track program and activity data relevant to development team needs and provide department with materials necessary for donor stewardship
  • Liaise with the other Science World internal departments as needed for proposal preparation and grant reporting requirements
  • Conduct prospect research for other team members as requested and stay current on prospective donors and the marketplace
  • Prepare briefing and debriefing notes for donor and prospect calls
  • Participate in overall department strategies to increase fundraising revenue and cultivate a culture of philanthropy
  • Participate in the planning and implementation of fundraising and stewardship events as requested
  • Promote a culture that is donor-centric, where requests from internal and external stakeholders are responded to with a high degree of urgency, professionalism and accuracy
  • Operate within the philosophy, culture, and values of Science World
  • Other duties as assigned

Job Requirements


    • University degree or equivalent combination of education, training and experience
    • Minimum 3 years related Development/Advancement experience.
    • Proven experience in grant writing and research for charitable organizations
    • Excellent written and oral communication skills. Strong ability to write clear, structure, articulate and persuasive grants
    • Proficient in MS Office programs, CRM and research databases (e.g. Raisers Edge, Grant Connect, Foundation Search)

    Must demonstrate the following:

    • Demonstrated success in strategic proposal development and donor solicitation, gift closure and stewardship
    • Highly developed research, writing and editing skills
    • Good attention to detail and strong research skills
    • Strong strategic and operational skills, with the ability to work together with other staff to achieve success
    • Excellent interpersonal skills to manage key relationships with donors, staff, and volunteers including corporate and government environments
    • Resourceful and organized; able to manage competing priorities, complex situations and deadlines
    • Proven ability to influence with integrity and to work independently
    • Ability to work independently and as collaborative member of a dynamic organization
